and efficiency, and we are looking for a highly organized individual to join our remote team
as a Job File Coordinator.
Position Overview
The Job File Coordinator plays a key role in ensuring that all project documentation is
accurate, complete, and compliant with client requirements. This position is responsible for
managing job files from the initial lead to invoicing, performing audits, and ensuring timely
uploads — including Third-Party Administrator (TPA) assignment uploading within
the SERVPRO® Audit system.
Key Responsibilities
- Monitor job file status daily to ensure accuracy in documentation and compliance with
client/program requirements.
- Perform TPA assignment uploads in the SERVPRO® Audit system, ensuring adherence to
national account guidelines and audit standards.
- Review and validate all field documentation, including photos, scopes, and estimates,
before submission.
- Create or review preliminary estimates in Xactimate® based on job scope and site photos.
- Maintain and update the Work in Progress (WIP) board for all active jobs in WorkCenter
2.0 and DASH.
- Communicate effectively with production crews, management, customers, and other
stakeholders.
- Prepare job file reports and track job file scores to ensure high audit performance.
- Complete job closeouts, send files for invoicing, and ensure low office cycle times.
Qualifications
- High school diploma or GED (required).
- Experience in TPA assignment uploading within the SERVPRO® Audit system
(required).
- At least 1 year of office, customer service, or administrative experience.
- Proficiency in digital tools, Xactimate®, and WorkCenter 2.0 preferred.
- Strong attention to detail, organizational skills, and ability to multitask.
- Experience in the restoration, construction, or insurance industry is a plus.
Skills & Competencies
- Excellent written and verbal communication skills.
- Strong understanding of SERVPRO® workflows, documentation requirements, and
national account guidelines.
- Ability to work independently in a remote setting while maintaining productivity and
accuracy.
