Description
Duties: Under the general supervision of the Recreation Services Manager, the Patron Service Assistant is responsible for:
- Answering and screening calls, responding to customer inquiries, providing information to internal and external requesters, and forwarding calls to supervisory personnel and other departments or facilities as needed; receiving and announcing visitors.
- Perform clerical work such as filing, copying, scanning, meeting room setup, etc. to support the Registration team and the Secretary to the Board as requested.
- Provide support to the Recreation front desk, primarily at Noble Center for Administration, but may include assistance at Lakeview Recreation Center.
- Process registrations by mail or over the counter fees, activities, and rentals; making change, issuing receipts, and preparing money for deposit; serving as a resource for daily deposit processing
- Provide both internal and external support for the RecTrac registration system
- Assist with the weekly camp installment billing process
- Make daily patron phone calls and emails to discuss outstanding balances, inquiries, and concerns
- Reconcile payments and manage billing plans for patrons with installment billing options
- Monitor outstanding balances and contact patrons for reminders with overdue payments via phone and email
- Investigate and resolve billing discrepancies or disputes with patrons
- Assist with the monitoring and management of camp waitlists, including contacting potential campers when enrollment spots become available
- Maintain accurate patron, camper, and billing information in the RecTrac system
- Following all safety procedures that pertain to the duties performed. Supporting all aspects of the Park District's safety program.
- Performs all other duties as required.
Essential Functions:
- Ability to manipulate computer keyboard, phone and adding machine.
- Prolonged sitting and standing.
- Ability to lift and carry up to 25lbs.
Qualifications
Education: A high school diploma or equivalent required; college, secretarial, or business school courses desirable.
Experience: One year of general clerical experience preferred, personal computer experience required.
Knowledge and Ability:
- Must be able to demonstrate proficient communication skills, attention to detail and the ability to work with staff who occupy positions at various levels throughout the organization.
- Excellent organizational skills with ability to prioritize tasks to meet deadlines.
- Proficiency in Microsoft Office Products, i.e., Word and Excel.
- Knowledge of office procedures and practices.
- Ability to collect and collate information from a variety of sources into concise and accurate reports.
- Ability to follow written and oral instructions.
- Ability to be professional, respectful, accountable, innovative, to follow safety procedures, and be equitable to both internal and external customers.
