Organizational Description

The Black Business Alliance Peoria Chapter, Inc. (BBA) is a nonprofit organization formed in 2013. Under the BBA umbrella are WPNV 106.3 LP FM, the Minority Business Development Center which operates the Regional Workforce Solutions Center. The BBA is focused on innovative ways to grow minority businesses and a skilled workforce. Our mission is to educate and empower those wishing to achieve and maintain financial independence for themselves and their community.

Job Summary

Program Assistant will be responsible for but not limited to: providing administrative support to the program manager and carrying out administrative tasks that impact the daily operation of the program, Assisting with program related projects to ensure they meet business goals, including organizing various classes and activities to improve company efficiencies, carrying out client support services, processing intake and assessment of clients’ needs, creating data management and reporting systems, organizing registration and training of grant funded individuals, communicating between program participants and managerial staff, and updating program schedules, and files. Conduct research and assist with ongoing referrals and effective utilization of services, meet program/contract enrollment and outcome goals.

Job Duties

  • Conduct research to gather and create job procurement and additional training opportunities
  • Assist with program development
  • Works closely with staff to enhance training curriculum, as needed, to keep up with industry requirements
  • Create and update applicant tracking system with candidate information immediately upon receiving notice of changes, updates, and/or feedback
  • Assist the program manager with coordination of classes, coaching sessions, back-office support services, and documentation as needed
  • Assist with the coordination of program recruitment, enrollment, retention, and placement in training programs
  • Helps with assessment of participants, determines appropriate training, and service needs
  • Assist with coordinating logistics for all activities including in-person and webinar trainings and events
  • Monitor job boards, bid opportunities, the job market and report accordingly
  • Answer calls, take notes, collect messages as needed and direct callers to the appropriate resource
  • Attends all-staff meetings, funder meetings, and other meetings, as assigned
  • Perform other related duties as assigned to advance the work.

Education

  • Associates’ degree in Business Administration, Business Management, Public Administration or Project Management or equivalent experience preferred
  • Minimum 1-3 years’ experience in relevant industry

Required Knowledge

  • Microsoft Word, Excel, PowerPoint, Outlook E-mail, Internet, Social Media
  • Experience using Constant Contact or similar system
  • Computer, Voice messaging systems, Fax/Copier/Scanner

Requirements

  • Must have a valid Driver’s license, acceptable driving record, and deemed insurable
