Description

Job Summary

The Claims Administrative Assistant is responsible for the administrative functions and processes related to the day-to-day operations of the Claims Department. This position also includes working closely with Claim Examiners on queue work tasks and Claims Management on general administrative assignments as directed.

Primary Responsibilities

  • Process and index documents within a document management system and handle all incoming mail to the Claims Department
  • Handle daily tasks assigned in work queues, such as ordering medical records or processing claim examiner requests for information
  • Generate letters within letter writing systems, distribute claim correspondence off printers periodically throughout the day and handle all other administrative claim correspondence tasks
  • Process all administrative fees relating to the Claims Department
  • Reconcile monthly billings for medical record vendor fees
  • Maintain rescission log and provide monthly reporting to management
  • Provide periodic back-up assistance as needed for front desk operator
  • Initiate/receive telephone calls to/from medical facilities, third-party vendors, and as needed within department and/or company staff members
  • Process requests for information, including requests for duplicate claim file documents and miscellaneous administrative tasks for all product lines
  • Administer Wellness Claims and perform data entry utilizing multiple claim systems
  • Assist on projects, and assist other team members when necessary
  • Handle general administrative responsibilities including, but not limited to: ordering supplies as necessary; maintaining cartridges for fax/copy/printer; notifying maintenance when confidential document repository is full; assigning lounge duty for the department
Requirements

Qualifications

  • High School diploma required; some college a plus
  • Prior insurance industry preferred
  • Ability to multi-task and effectively meet deadlines
  • Ability to work independently and as a team player
  • Flexible and adaptable to change & using multiple systems
  • Highly motivated and organized
  • Attention to detail – proofreading and editing
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office programs (Word, Outlook, Excel and Internet
  • Ability to maintain confidentiality and adhere to privacy standards
  • Ability to learn systems processes and procedures quickly
  • Display professionalism at all times
