Job Description:

Summary

The Academic Scheduling Coordinator provides daily oversight, monitoring, and configuration of all academic scheduling data for each department and campus of Illinois Central College. This position serves as the primary contact and support provider for academic departments and is the main communication link to Technology Services and Student Services regarding academic class scheduling and space assignments. Responsibilities include process analysis, configuration, training, testing, support, documentation, and space assignment.

Compensation for the Coordinator- Academic Scheduling is $45,240.00 - $52,041.60 annually.

Essential Functions

  • Coordinate the use of the academic course schedule in PeopleSoft, Workday, and Coursedog production systems, including semester setup.
  • Provide training, support, updates, and documentation for end users of PeopleSoft, Workday, and Coursedog.
  • Process course section additions, modifications, temporary closures, and cancellations as requested by departments.
  • Ensure Dynamic Date Tables (Start, End, Refund, Withdraw Dates) are updated and maintained in PeopleSoft/Workday, and update Class Associations (CAF) as needed.
  • Assign rooms to course sections during schedule production when not pre‑assigned in Coursedog; assist with resolving academic space conflicts.
  • Process academic room requests in the Coursedog Events module for internal and external stakeholders; collaborate with the Events Coordinator to resolve conflicts.
  • Develop diagnostic queries and reports in PeopleSoft/Workday to identify and resolve data, process, and system issues; share reports with employees as needed.
  • Collaborate with departments on academic space inventory and run the merge with Coursedog to synchronize Schedule and Events modules when spaces are modified.
  • Troubleshoot course prerequisites and conduct testing of prerequisites and user groups in the PeopleSoft/Workday test environments.
  • Establish course data for and monitor independent study limitation criteria.
  • Identify, communicate, recommend, and resolve process issues with academic, service, and technical department staff.
  • Work with end users to identify emerging business needs.
  • Participate as a team member in the Curriculum and Scheduling Office.
  • Serve on college committees and teams, including the Calendar Committee.
  • Act in accordance with Illinois Central College’s principles by connecting with students, building relationships, acting promptly and professionally, and working as part of a team.
  • Perform related duties as assigned.

Minimum Qualifications

The requirements listed below are representative of the knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.

  • Five years of experience supporting administrative information systems in an educational, training, or business environment; OR
    Associate degree plus at least three years’ experience with educational/business systems; OR
    Bachelor’s degree in a computer‑related field plus one year supporting educational/business systems.
  • Familiarity with higher education academic environments and business practices, such as Recruitment, Financial Aid, Student Finance, Advising, Admissions, Academic Affairs, Curriculum, Enrollment Services, Event Scheduling, or Corporate and Community Education.
  • Advanced CRM skills, specifically with PeopleSoft/Workday.
  • Proficiency with Windows applications and the ability to learn new applications quickly.
  • Experience with query languages and reporting tools.
  • Experience supporting web‑based applications connected to backend databases.
  • Strong accuracy and attention to detail.
  • Ability to think conceptually (systems thinking) and analyze interdependencies.
  • Ability to plan, organize, and prioritize work independently and as part of a team.
  • Strong verbal and written communication skills with technical and non‑technical audiences.
  • Ability to manage sensitive and confidential information appropriately.
  • Strong business process analysis skills.

  • Experience with Coursedog applications.
