Summary
The Administrative Assistant for the Athletics department is primarily responsible for performing general and confidential secretarial and administrative support duties including processing, preparing, and maintaining records, expenditures, and schedules for the department. Event planning for the annual Hall of Fame induction ceremony. Collect athletics department data and complete the annual Fall Athletics EADA survey. Oversee the scheduling, upkeep, and inventory of the athletics concession area.
Compensation for the PT Administrative Assistant is $17.05- $19.60 an hour.
Essential Functions

- Complete administrative support tasks supporting the department such as maintaining files, scheduling appointments, typing letters and/or memos, running and verifying reports, processing data, processing requests, preparing meeting minutes, and gathering information.
- Provide customer assistance by answering telephone calls, forwarding calls, greeting students, staff and the general public, referring individuals and inquires to the appropriate personnel.
- Troubleshoot problems serving as the front-line representative of the department.
- Establish and maintain confidential files for the department.
- Maintain databases, complete data entry tasks and run departmental reports.
- Maintain departmental budget records of travel, supply and capital orders, general stores requisitions, and purchase orders.
- Maintain and distribute forms and/or supplies relevant to department procedures and functions.
- Schedule meeting rooms and activities at the direction of the Athletics Director.
- Complete the annual EADA (Equity in Athletics) report each Fall.
- Be the athletics point person in the planning, preparation, and running of the annual Athletics Hall of Fame induction ceremony.
- Schedule, oversee upkeep, and work with athletic director on inventory of items in concession stand.
- Perform related duties as required.
Minimum Qualifications

- High school diploma or equivalent.
- One year of experience working in an administrative role.
- Proficient in Microsoft Office Suite.
- Experience working with Adobe Acrobat.
- Strong multi-tasking and prioritization skills.
- Strong attention to detail and problem-solving skills.
- Strong verbal and written communication skills.
- Strong interpersonal skills, including the ability to establish and maintain cooperative and professional working relationships with others.
Preferred Qualifications
- Associate's degree in business, administration and/or related field.
- Experience working in an educational system or athletics.
- Experience working with Workday.
- Knowledge of accounting and business principles.
