Summary
Provide support to Adult Education program. Act as liaison between program and marketing/admissions. Provide student support for adult education students during registration, testing, and classes. Provide support for Adult Education Manager and Coordinators.
Compensation for the Administrative Assistant is from $17.00 - $17.79 an hour.
This is a grant-funded position with ICCB Adult Education - State Performance with an expected end date of June 30th, 2026, with a possibility of the funding being extended.
Essential Functions

Enter accurate student data into required data collection system and run reports as prescribed by the funding agency.
Promote awareness internally and externally of the programs and services available.
Develop, plan, and execute events for current and prospective students.
Coordinate onboarding and pre-assessment for students through grant funding, including Adult Basic Education, HSE Preparation, English as a Second Language, Bridge and Integrated Education & Training.
Answer questions about adult education program through information phone line, website interest form, CRM system and social media.
Maintain confidentiality with regards to information and records.
Monitor student attendance and ensure that students meet the post testing requirement.
Coordinate communications internally and externally of the programs and services available using print, video and social media platforms.
Coordinate with college marketing department to ensure unified message is presented.
Work closely with the Department of Human Services and Teen Parent Services to serve welfare recipients and with the WIOA core and required partners to meet workforce development needs.
Perform general office duties which include filing and maintaining student files.
Answer telephone and take messages in a professional manner.
Call students who miss class and assist with support needed to help them return if appropriate.
Collate and create packets of campus information for orientation folders.
Maintain inventory and order supplies.
Attend meetings and workshops offered by the funding agency that focus on the data collection system.
Prepare and submit work orders using online system.
Prepare and submit Workload and monthly purchasing in Workday system.
Perform related duties as required.
Minimum Qualifications
The requirements listed below are representative of the knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
High school diploma or equivalent.
Three years or more of experience in an office environment or related field.
Experience working with academically and/or economically disadvantaged adults.
Proficient in Microsoft Office Suite.
Strong data entry and typing skills with the ability to type 45 wpm.
Strong organizational and prioritization skills to meet deadlines.
Strong analytical and problem-solving skills.
Strong multi-tasking skills and decision-making skills.
Strong verbal and written communication skills.
Strong interpersonal skills, including the ability to establish and maintain cooperative and professional working relationships with others.
Preferred Qualifications
Bachelor’s Degree or higher.
Experience with grant policies and funding.
Experience with college structures and community/social agencies.
Experience with spreadsheet, database, and presentation software.
