Summary

As a member of the Division of Student Success at Illinois Central College, the Specialist-Reporting is essential in fostering positive student interactions, enhancing student-centered processes, cultivating a sense of belonging, and collaborating to support student success. Reporting directly to the College Registrar and focused on supporting student records management, including processing enrollment verifications and managing transcript requests, this position helps to advance departmental and divisional goals while supporting the college’s overall mission and strategic priorities.

Essential Functions

  1. Facilitate student success by offering personalized support, guiding students to resources, and acknowledging each student's unique story.
  2. Enhance student success by identifying and providing feedback on process improvements and utilizing data as needed to ensure that resources and services effectively meet student needs.
  3. Support student success by collaborating to ensure coordinated efforts in addressing student needs and enhancing overall outcomes.
  4. Advance student success by engaging in ongoing professional development and growth opportunities to stay current with best practices and effectively address evolving student needs.
  5. Compose, process and mail various letters related to enrollment verification, admissions, add/drop or records. Reply to requests for information and type or select standardized responses (ex. enrollment verification requests.)
  6. Gather general or confidential data and materials necessary for compilation of reports (ex. Solomon Report and subpoenas.)
  7. Scan and link documents to students’ records.
  8. ManagedocumentdisposalrequestsforEnrollmentServicesatallcampuses.
  9. Process and resolve issues with ICC transcripts requests.
  10. Prepare and process invoices and purchase orders.
  11. Process program of study changes.
  12. Process Consent to Release Information forms
  13. Review and check in College and High School transcripts.
  14. Perform related duties Student Information System and CRM (Peoplesoft/Workday/Slate).
  15. Perform related duties as required.

Minimum Qualifications

The requirements listed below are representative of the knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.

  1. Associate’s degree in related field OR high school diploma with 5 years of related work experience.
  2. 1 year of experience working in customer service for a college and/or university.
  3. Experience working with SIS systems.
  4. Strong attention to detail and organizational skills.
  5. Proficient in Microsoft Office Suite.
  6. Strong Multitasking and prioritization skills.
  7. Strong problem-solving skills.
  8. Strong Verbal and written communication skills.
  9. Strong interpersonal skills, including the ability to establish and maintain cooperative and professional working relationships with others.

Preferred Qualifications

  1. Bachelor’s degree and one to three years of direct customer service experience working in a college or university office setting.
  2. Experience working in admissions, registration or with College Registrar.
  3. Experience with Peoplesoft Enterprise solution software.
