As a key member of GFL’s dynamic team, the Office Services Administrator is a personable and professional individual with a proven track record of providing exceptional front-facing support while maintaining the highest standards of integrity, ethics, and confidentiality.

This role provides administrative support to the entire office and across the Illinois region. The ideal candidate demonstrates outstanding customer service and communication skills, thrives in a fast-paced environment, and brings an enthusiastic “can-do” attitude. Attention to detail, strong prioritization skills, and the ability to work independently and collaboratively are essential.

The successful candidate will manage multiple priorities calmly and effectively, meet deadlines, and proactively take on new responsibilities as opportunities arise.

Key Responsibilities

General Office Administration

  • Foster positive, mutually supportive relationships with all regional office staff and field personnel, while providing administrative support to all IL sites. Conduct periodic site visits to engage with teams and participate in celebrations or check-ins

  • Plan and coordinate office events, meetings, and employee appreciation activities, including ordering lunches and sending company-wide announcements.

  • Maintain inventory and order supplies for office, conference rooms, training rooms, and common areas.

  • Act as reception coverage, greeting visitors, and monitoring door traffic.

  • Manage mailroom operations, distributing inbound mail and packages efficiently.

  • Order supplies and print materials for meetings and training sessions.

  • Coordinate office furniture orders, design layouts, and oversee installations.

  • Send certified mail and shipping via UPS/FedEx.

  • Support local budgets for sponsorships, donations, and office expenses, ensuring alignment with financial guidelines.

  • Email calendar reminders for PTO requests for key personnel

  • Distribute tickets for company-sponsored events and maintain related tracking.

  • Visit regional sites periodically for check-ins and team celebrations.

  • Assist with local event preparations such as “Touch a Truck” and provide content for the Area’s quarterly newsletter.

Sales & Marketing Support

  • Coordinate customer communication materials for municipal contracts (letters, postcards, information packets, and social media posts).

  • Manage marketing requests for sales (maps, promotional materials, billboards, business cards, and mailing lists).

  • Work with the sales team to ensure up-to-date marketing information for contractual agreements.

  • Proofread and assist with bid preparation and documentation for municipal contracts.

  • Track and manage event boxes inventory, donations, and pickup schedules.

Operations Support

  • Apply for and renew hauler licenses for all Illinois sites.

  • Coordinate newspaper ads for cleanups, service changes, and e-waste events.

  • Assist with the development of annual recycling calendars for 75 communities.

  • Work with Corporate Marketing to update branch pages, Google listings, and operational information.

  • Support sites with facility signage and branding initiatives.

  • Mail out manifests and related documents for landfill and hauling operations.

  • Create annual landfill meeting booklets and assist with other special projects as needed.

Knowledge, Skills, and Competencies

  • High School Diploma or GED required; Associate’s degree in a business-related field preferred.

  • Minimum of 3 years’ experience in an administrative role, or equivalent combination of education and experience.

  • Excellent interpersonal and written communication skills

  • Proficiency in Google Workspace (Gmail, Google Sheets, Google Drive, Google Docs, Google Slides)

  • Strong interpersonal, written, and verbal communication skills.

  • Excellent attention to detail and organizational accuracy.

  • Ability to manage multiple priorities and meet deadlines with professionalism.

  • Notary Public appointment preferred.

Physical and Mental Demands

  • Ability to occasionally lift and move up to 10 pounds.

  • Regularly required to sit, talk, hear, and use hands and fingers to handle office equipment.

Working Conditions

  • Indoor office environment approximately 95% of the time.

  • Frequent computer use throughout the workday.

  • Moderate noise level typical of an office setting.
