Job Summary: The Administrative Assistant will provide high-level administrative support to one of our Vice Presidents and their department. This role requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Manage and maintain for Vice President calendar, including scheduling meetings, appointments, and travel arrangements. Support other directors’ calendars as able and if requested.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Coordinate and facilitate communication between Vice President and internal/external stakeholders.
  • Organize and prioritize incoming information, ensuring timely responses and follow-ups.
  • Assist in the preparation of meetings, including agenda creation, content compilation, and distribution of materials.
  • Handle confidential information with the utmost discretion and professionalism.
  • Manage special projects and initiatives assigned by Vice President.
  • Provide general administrative support, including filing, data entry, and office management tasks.
  • Support with any larger scale team events including workshops, expos, external partner meetings and leadership meetings.

  • Flexibility and Adaptability: Knowledge of successful approaches and techniques for dealing with change; ability to adapt to a changing environment and be comfortable with change.
  • Managing Multiple Priorities: Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.
  • Problem Solving: Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situations
  • Office Administration: Knowledge of office administration activities; proficient in carrying out ongoing office administration tasks effectively and efficiently in support of local and remote teams.

Top Candidates Will Also Have:

  • Degree or equivalent experience desired
  • Proven experience as an Administrative Assistant or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote) as well as other key systems used by Caterpillar.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Ability to multitask and prioritize effectively in a fast-paced environment.

Summary Pay Range:

$28.15 - $42.25
