Job summary:
You will provide advanced clerical and administrative support and relief of administrative detail to company executives, availing them the additional time for their top management responsibilities.
What you will do:
- Coordinate schedules for multiple senior leaders, including creating and rearranging meetings to maximize productivity.
- Prepare expense reports and validate receipts for multiple senior leaders.
- Facilitate All-Employee-Meetings for department, including preparing presentation materials, coordinating venue for meetings and respective technology needs.
- Order materials and process purchase orders, while supporting departmental budging efforts to meet team targets.
- Coordinate and participate in roundtable discussions with salary, management, and production employees. Takes notes and summarizes actions from these meetings.
- Oversee key project scorecard data and summarizes it in daily, weekly, and monthly basis to show progress/obstacles faced by these teams.
- Coordinate United Way and other fundraising efforts for Mossville and Pontiac sites.
- Coordinate general communications by receiving and passing along e-mails, notices, etc.
- Arrange customer/dealer/consultant visits including lodging, meals, scheduling, meetings, etc.
- Prepare presentation materials as needed.
- Typing, filing, transcription, and/or shorthand.
- Proficient in PC and standard software programs (Microsoft Word, Excel, PowerPoint, etc).
Skills you must have:
- Office Administration: Knowledge of office administration activities; ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams.
- Managing Multiple Priorities: Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.
- Accuracy and Attention to Detail: Understanding the necessity and value of accuracy; ability to complete tasks with high levels of precision.
- Effective Communications: Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.
- Collaborating: Knowledge of collaborative techniques; ability to work with a variety of individuals and groups in a constructive and collaborative manner.
- Flexibility and Adaptability: Knowledge of successful approaches and techniques for dealing with change; ability to adapt to a changing environment and be comfortable with change.
- Problem Solving: Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situations.
- Microsoft Office: Intermediate to advanced knowledge of Microsoft Office (MS Excel, Word, and PowerPoint); ability to use the features and functions in Microsoft Office products.
Top candidates will also have:
- Associates degree or equivalent experience in business, paralegal, or any other related field of study
- Project management experience.
- Demonstrated abilities to deliver professional looking Microsoft PowerPoint presentations.

Additional Information:
- This role is required to travel to our Pontiac, IL location on a monthly basis.
- This role will typically work onsite Monday-Friday from 8am - 5pm
- This position is located in Mossville, IL
- Domestic relocation NOT available

Summary Pay Range:
$27.08 - $40.62Compensation and benefits offered may vary depending on multiple individualized factors, job level, market location, job-related knowledge, skills, individual performance and experience. Please note that salary is only one component of total compensation at Caterpillar.
