Overview

Provides advanced, diversified, and confidential secretarial services to a Service Line Director of the organization.

Responsibilities

Analyzes and creates documents used by the Service Line Director as requested

  • Monitors labor use against benchmarks

  • Assesses use trends to identify opportunity

  • Sends productivity alerts to nurse manager if productivity less than benchmark

  • Evaluates submitted rationale for below productivity targets

  • Performs in-depth productivity analysis as needed

  • Works with nurse managers to identify opportunity for productivity improvement

  • Generates monthly reports and distributes appropriately

  • Prepares spreadsheets routinely and as needed which are accurate and timely

  • Generates Kronos reports as requested


Screens telephone calls and visitors and resolves routine and some complex inquiries.

  • Communicates effectively with other secretarial support staff throughout the medical center

  • Consistently puts forth a friendly, helpful manner to all contacts in the course of the workday.

  • Shows good judgement in the screening process, getting priority messages to the Service Line Director in a timely manner.

  • Accurately conveys the details and essence of all messages

  • Demonstrates resourcefulness in resolving issues or inquiries. Does so in an independent manner.

  • Proactively anticipates needs, both defined and undefined, as evidenced by customer compliments, enhanced or newly developed processes that improve workflow, and effective communication.

  • Demonstrates a well developed ability to effectively communicate with a wide range of people.

  • Multi-tasks and works under pressure with many interruptions but is able to complete projects or work tasks successfully.


Prepares correspondence, memos, reports, etc. Composes and may initiate routine correspondence and memos. Prepares and distributes minutes of meetings.

  • Provides secretarial support in a timely and efficient manner

  • Completes payroll for nursing administration personnel in an accurate and timely manner

  • Creates letters, reports, minutes, memos, forms, flow charts, etc.

  • Ensures professional looking, accurate and grammatically correct finished document.

  • Maintains accurate weekly attendance record

  • Maintains accurate absent/tardy rates

  • Organizes/completes assignments independently, efficiently and in a timely manner

  • Attends meetings as needed

  • Takes thorough, concise, accurate notes in meetings with a timely turn around time

  • Transcribes minutes, places in proper format for dissemination

  • Maintains book of staff phone numbers and addresses and updates regularly

  • Maintains locker distribution list as requested

  • Has a well-developed computer software program knowledge such as Excel, Word, Access, and PowerPoint

  • Information/documents are filed appropriately for easy retrieval

  • Types job descriptions

  • Makes travel/conference arrangements and coordinates reimbursements for employees

  • Schedules meetings

  • Schedules and maintains calendar of appointment, meetings, travel itineraries, and coordinates related arrangements

  • Demonstrates high level proficiency in coordinating meeting times and places, preparing and distributing agendas or other source works, notifying participants

  • Ensures scheduled process runs smoothly, all feel well informed, and are not surprised by developments unknown to them

  • Communicates effectively with other secretarial support staff throughout the medical center regularly

  • Shows good judgement, creates flyers, announcements, posters and banners for the department


Operates computer and appropriate software packages. Assists the Service Line Directors and Nurse Managers or other staff in project development and planning.

  • Requires minimal direction on routine and non-routine tasks.

  • Stays abreast of changes and innovations in software or functions of the systems, using them to highest advantage.

  • Meets urgent deadlines successfully.

  • Serves as a resource to clerical support staff or others on the use of the various software functions.

  • Develops new skills that will improve the quality and efficient of job duties.

  • Efficiently conducts library and Internet searches as directed.

  • Demonstrates an appreciation of cost factors in the routine performance of duties, implements strategies and work processes that minimize cost and maximize efficiency.

  • Approaches problems with systematic and critical thinking, considers issues from all angles, and offers suggestions/solutions that assist with projects.

  • Maintains strong knowledge of the latest technology related to software and programs.

  • Serves as a Chart Forms Administrator

  • Collects required documentation from physician-employed caregivers such as nurses and surgical techs. Communicates with physician offices. Documentation is updated yearly. (Specific to surgical service line.)

  • Assists with updating Policies & Procedures manual and Orientation Playbooks, both online.

Salary Range

The compensation range for this position is $17.91per hour - $29.01per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, location, training, licenses, shifts worked and compensation model.
