Position Title: Administrative Assistant II

Department: Dean’s Office, Slane College of Communication & Fine Arts

Reports to: Administrative Supervisor

Appointment: Full-time; 40 hours per week (12-month position)

Status: Exempt

Position Summary

The College Administrative Assistant II staff member provides comprehensive administrative and operational support to the college by coordinating academic processes, managing departmental operations, and ensuring compliance with institutional policies and procedures. This position serves as a key resource for faculty, staff, students, and external partners, supporting the daily functions of the college while contributing to strategic initiatives and special events.

Essential Duties and Responsibilities

Academic Administration

  • Coordinate the scheduling of courses, classrooms, and academic spaces each semester.
  • Assign faculty advisors to students and maintain advisor assignments in university systems.
  • Assist with the administration of CFA 100, including course logistics, communication with students, and coordination of course materials.
  • Support faculty and department chairs with academic scheduling and related administrative processes.

Student Worker Management

  • Oversee student workers throughout the college including hiring, scheduling working hours and duties, and managing time cards.

Compliance and Assessment

  • Coordinate the college's Clery Act reporting process by collecting, tracking, and submitting required information in accordance with university policies and federal regulations.
  • Administer course evaluations, including scheduling evaluation periods, communicating with faculty, monitoring completion rates, and distributing reports.

Personnel Administration

  • Prepare, process, and monitor part-time faculty and staff contracts.
  • Ensure all required employment documentation is complete and submitted in accordance with university deadlines.

Financial Administration

  • Process purchasing requests, purchase orders, and reimbursements in accordance with university purchasing policies.
  • Track expenditures and assist with budget monitoring as assigned.
  • Coordinate vendor communications and procurement activities.

Event Planning and Coordination

  • Plan and coordinate college events, including meetings, workshops, receptions, student programs, and special events.
  • Reserve facilities, coordinate catering, manage event logistics, and communicate with campus partners.
  • Assist with event promotion and participant communications.

Administrative Support

  • Maintain accurate records and documentation related to academic and administrative operations.
  • Develop and distribute communications to faculty, staff, and students.
  • Recommend improvements to administrative processes to increase efficiency and effectiveness.
  • Collaborate with departments across the college and university to support strategic initiatives.
  • Perform other duties as assigned.

Required Qualifications

  • Three or more years of administrative experience, preferably in higher education.
  • Excellent organizational, time management, and project coordination skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Proficiency with Microsoft Office and Google Suite and the ability to learn university enterprise systems.
  • Demonstrated attention to detail and ability to maintain confidentiality.
