Position Title: Administrative Assistant I

Department: College of Liberal Arts and Sciences (LAS)

Reports to: Administrative Supervisor for LAS

Appointment: Full-time; 12 months; 40 hours per week

Hourly Pay Rate: $15.00

Summary:

The administrative assistant I to the LAS Deans Office will provide support to the LAS Dean’s in serving the faculty, staff and students in the College. The administrative assistant will coordinate communications within the college and ensure that needs of students, staff, faculty and visitors are being addressed by the appropriate person in the Dean’s office.

Characteristic Duties and Responsibilities:

  • Provide administrative support to the College of Liberal Arts and Sciences, administration and faculty
  • Function as the receptionist for the Dean’s Office
  • Receive and coordinate telephone communications
  • Greet visitors, students, parents, faculty and staff
  • Triage information to identify appropriate persons for contact and follow through
  • Coordinate events
  • Support the faculty recruiting process
  • Assist faculty with transitioning to campus
  • Assist with special projects
  • Coordinate ordering of office supplies
  • Maintain student payroll scheduling and records
  • Receive and route student records for processing
  • Maintain student records and files
  • Support the LAS College by performing all other duties, as assigned.

Members of the administrative support team will be cross-trained to perform duties and responsibilities.

Position Qualifications:

  • A high school diploma or the equivalent and two years of experience in a business or office-related setting or an equivalent combination of education and experience in a business or office-related setting.
  • Proficiency with computer technology, including data-based spreadsheets, word processing, and virtual communication platforms
  • Strong written and verbal communication skills
  • Make decisions using sound jusdment
  • Perform detailed job tasks with accuracy
  • Effectively interact in person, via email and telephone utilizing excellent communication skills
  • Ability to maintain a high level of responsibility regarding confidential information
  • Show respect and sensitivity for cultural differences

Mental/Physical Requirements:

Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is performed in normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet.
