Position Title: Academic Records Specialist

Department/Unit: Registrar – Academic Affairs

Reports to: Registrar

Status: Non-Exempt

Appointment: Full-time: 40 hours per week/12 month/year

Pay Rate: $17.00/hour

Job Duties Summary

Degree Conferral for Graduate Students

  • Serve as project manager for Graduate Education graduation processing, three cycles yearly
  • Pre-commencement check of all graduate student records to ensure student has or is on track to complete all requirements for graduation
  • Final check of all graduate student records to ensure student has completed all requirements to earn a degree or certificate
  • Draft commencement program that includes all students approved for commencement

National Student Clearinghouse & National Student Loan Database Enrollment Reporting

  • Project lead in maintaining enrollment reporting compliance with NSC (National Student Clearinghouse) and NSLDS (National Student Loan Data System)
  • Liaison to Financial Assistance office and financial auditors in relation to enrollment reporting
  • Enrollment error resolution main contact for internal and external stakeholders

Leave of Absence (LOA) Processing for all students

  • Review forms approved by VP of Student Affairs and College Dean(s)
  • Compile forms and maintain spreadsheet of LOA forms received and approved
  • Officially notify students via email of their leave on the first day of classes
  • Officially notify campus constituents via email of students on approved LOA

uAchieve Degree Audit Maintenance

  • Review graduate-level documents submitted via CRCRS to ensure compliance from a uAchieve audit perspective
  • Oversee graduate program degree audit coding
  • Review graduate-level degree audit exceptions to ensure accuracy and compliance with university policy

Diploma Processing and Management

  • Act as main University liaison with diploma vendor
  • Place bulk orders for diplomas each graduation cycle
  • Process replacement diplomas requests for all alumni
  • Maintain on hold diploma inventory and release as necessary

Qualifications

  • Associates degree required. Bachelor’s degree preferred.
  • At least three years of office work experience in a team environment
  • Higher Education experience preferred
  • Familiarity with student records and project management highly desirable
