Position Title: Administrative Assistant I

Unit: College of Education and Health Sciences

Reports to: Assistant Dean, Education and Health Sciences

Status: Non-Exempt

Appointment: Full-Time; 40 hours per week/12 months per year

Pay Rate: $15/hour

SUMMARY

Responsible for a range of administrative duties to support operations of the College of Education and Health Sciences (EHS) and its six academic departments.

CHARACTERISTIC DUTES AND RESPONSIBILITIES

Provides in person office and reception support receiving and greeting visitors and maintaining welcoming front office environment. Serves an information gateway for general inquiries, including assistance with answering/transferring phone line and general email.

Serves as point of contact person for and provides direct administrative support to faculty, staff, deans, department chairs, and program directors within the College of Education and Health Sciences.

Performs general administrative duties: maintains unit supply inventory; receives and routes supply orders; sorts and distributes mail; manages calendars and schedules/facilitates meetings and events; attends meetings and takes minutes; creates/formats correspondence; receives and routes student records for signature; maintains student records and files; conducts and facilitates graduation clearances; assists with course offerings preparation; monitors and routes modifications in course offerings content via course arrangements; submits affiliate faculty hiring requests; schedules the use of classrooms, labs, and meeting rooms and maintain access; maintains repository of course syllabi; provides special project and event coordination.

In order to meet the needs of the University, the University retains the right to assign duties and requirements to employees, as well as determine and change starting times, quitting times and shifts.

MINIMUM QUALIFICATIONS

High school diploma or equivalent and one to three years of relevant experience that demonstrates: excellent interpersonal and customer service skills; ability to work independently and contribute to a positive team spirit; proficiency in Microsoft office suite, data entry, and cloud based video conferencing applications; create and run reports; compose correspondence; ability to exhibit sound/accurate judgment; perform detailed job tasks with accuracy; editing and proofreading skills; ability to work with sensitive information and records; work/interact with diverse groups of people; show respect and sensitivity for differences, effectively communicate in person, via email and telephone with students, parents, University personnel and external constituents; ability to deal with periodic timetable changes; coordinate/manage multiple projects and tasks simultaneously and on deadline.

MENTAL/PHYSICAL REQUIREMENTS

Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is performed in normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet.
